Importance of an Appealing Website

1. Design plays a massive role in user’s attention
The layout and design of a website is an essential factor to the success of a business.
If you did not know, now you do – 94% of potential clients/customers base their trust of a business on the design of the website.

If a visitor cannot scan and identify significant information promptly, the likeliness of them exiting your page to access someone else’s increases dramatically. As per research undertaken by Neilson Norman Group on ‘how users read the web’, it is evident that successful websites which have a scannable layout increases reader usability and improves website browsing by 47%.

2. Annual update – A two-year-old website is too old

The fact is an outdated website is lowering a company’s chances for potential business.

With the constant tech improvements and the forever-changing web design, an updated website is becoming more and more essential for any business.

To stay relevant your website needs to be up to date with coding changes, browser updates and SEO algorithms to ensure it maximises its potential.

3. SEO/SEM
For those who do not know SEO stands for search engine optimisation and it is one of the most prominent ways to expose a business’s website.

Each different search engine like, Google has their own algorithms which are constantly rating and ranking your website in the search. With 75% of users never scrolling past the first page of a search result, it is obvious that the aim of the game is to make page one, therefore your SEO has to be the best it can be.

Rocket Software Road Show

In the month of March Uniware, Rocket software & MBS conducted Breakfast Briefing roadshow. The event took place in five cities, Melbourne, Sydney, Perth, Adelaide and Brisbane. It was great to catch up with some of you and learn about the new developments your companies are going through.

The roadshow was a good opportunity to learn about Rocket Software and their investment in Multi-Value (Unidata, UniVerse and D3). The event also focussed on Business Continuity and Data Visualisation, as well as how you can leverage Rocket Technology to drive your business.

Uniware also conducted a brief case study presentation on Unidata Replication and EDA processing.

Unidata replication is a service, which provides an HADR (High Availability & Disaster Recovery) and/or reporting solution for customers by replicating data from the ‘production’ server or publisher to a ‘standby’ server or subscriber.

EDA processing provides the ability to replicate data from Unidata or Universe to other relational DBMS (Database Management System) such as Microsoft SQL using the EDA Schema Manager console. Data updated in Unidata/Universe is automatically updated to the SQL database in real time.

If you require any further information regarding the Rocket Software, please call Uniware on (03) 8804 0804 or send an email to info@uniware.com.au

Uniware Cloud

Uniware is in the process of upgrading all hardware within our ‘cloud’ service. We will soon outgrow our current facility and will relocate our data centre to a Tier 1 global hosting organisation located in Melbourne.

As well as providing expanded facilities, this will also offer higher levels of performance & redundancy. During the transition over coming weeks, we shall contact all customers that may be affected by this update.

What can Facebook do you for your business

Have you ever wondered how successful businesses make the best use of Facebook?

See below some creative ways that companies use to engage their target audience. Also, learn the secret rules to engage your target audience and converting them into potential leads.

Use high quality Interactive Images

Facebook is majorly a visual social tool to interact and express visually. The posts combined with images always attract more traffic as compared to just a post or link.

If your business wants your Facebook subscribers to stop scrolling and read through your Facebook posts, use high quality images combined with a message in bold font.

Uploading videos for better engagement and focusing on visuals

Everyday there are approximately 8 billion videos uploaded on Facebook. It is a proven fact that the videos experience much higher reach as compared to text, link or images. In fact, videos are the best and most efficient way to interact and engage with your target market.

To achieve the best results and success, the message should be precise and clear in the video. People will turn off long videos so get the best of it by keeping it to the point.

Target potential prospects with Facebook Ads

Companies have come to realize the importance of Facebook ads and make sure to connect with the appropriate market through Facebook ads. The advantage of Facebook ads is that it gives you the functionality to refine your own demographics, create high-end custom-made ads and let you select the budget.

Facebook ads are a powerful source which allows businesses interact directly with the people who might be interested in their product and service. Not only will you gain potential leads and sales, it is also an excellent way of social media marketing.

Capture the interest with ongoing Facebook Live Show

The launch of the Facebook Live feature has given business the ability to tap into millions of potential clients globally. Facebook claims that people watch live videos for a much longer duration as compared to pre-recorded videos.

Facebook Live is an amazing social tool that brands use most frequently to engage, build and connect with their Facebook users. In lot of cases, organizations use Facebook Live occasionally, however using it continuously leads to the real success. The most effective way to engage users is to set a day and time for a scheduled show so that people can know when they can see you live.

Facebook Instant Articles for enormous engagement

Publishers find Facebook Instant Articles excellent as it allows them to showcase the content via app, where the internet speed/performance is considerably better. Instant articles allow users to download a lot quicker as compared to mobile apps.

People are 50 percent less likely to ignore Facebook instant articles and are more inclined to share the instant articles than other mobile apps.

If you want to give your business an amazing website and/or mobile apps with strong keywords, else want to get most of digital marketing. Contact Xceed Web Development or call (03) 8804 0804

Aus Vantage Helpdesk Tip: Grid Search

V8 has powerful filtering options available within all grids.

To quickly search for text within all columns in a grid, right-click at the top of the grid and choose “Show Find Panel”.

Then input the required data in the search box. The grid will filter and highlight the search data only displaying lines containing this data. In the example below it has highlighted all instances of “99” and filtered to show only these lines.

Another search option is to right-click at the top of the grid and choose “Show Auto Filter Row”

This allows a column search for matching data. By default, it will search the column for items beginning with the entered search data. In example below, enter “000050” to search for all invoices starting with this sequence, or enter the whole invoice number.

To change the search criteria from characters at the beginning, click the words “Edit Filter” at the bottom right of the grid after entering the initial search. This gives other options.

EDI processes integrating you into the global market

Electronic Data Interchange (EDI) processes assist data transfers between or within one organisation to another in a different location without manual intervention. Purchase orders, invoices, shipping notices and many others can be exchanged electronically to address the needs of specific industries.

Moving from a paper-based exchange of business document to one that is electronic, businesses enjoy major benefits such as reduced cost, increased processing speed, reduced errors and improved relationships with business partners.

According to a recent research study from Forrester, “the annual volume of global EDI transactions exceeds 20 billion per year and is still growing.”

Cost savings with EDI:

Expenses associated with paper, printing, reproduction, storage, filing, postage and document retrieval are all reduced or eliminated

Errors due to illegible faxes, lost orders or incorrectly taken phone orders are eliminated

Speed and accuracy benefits:

EDI can speed up your business cycles by 61%

Improves data quality, delivering at least a 30 – 40% reduction in transactions with errors

Using EDI can reduce the order-to-cash cycle time by more than 20%

EDI business efficiencies:

Automating paper-based tasks allows your staff to concentrate on higher-value tasks

Exchange of data between applications across a supply chain can ensure that critical business data is sent on time and can be tracked in real time

Shortening the order processing and delivery times means that organisations can reduce their inventory levels

In many cases, the greatest EDI benefits come at the strategic business level:

Real-time visibility into transaction status enables faster decision-making and improved responsiveness to changing customer and market demands

Shortens lead times for product enhancements and new product delivery

Streamlines your ability to enter new territories and markets

Promotes corporate social responsibility and sustainability by replacing paper-based processes with electronic alternatives

If your organisation would like to link with local/regional/global suppliers, partner and customers by leveraging EDI capabilities, please contact us on: (03) 8804 0804 or email us at: info@uniware.com.au

Mobile Apps meeting customers when it matters

Consumers are relying more on their mobile devices to communicate, research products and acquire information. According to a survey from SessionM, more than 90% of consumers use their smartphones while shopping in retail stores, while more than 54% of consumers use their devices to compare prices, others search for product information (48.4%) and reviews (42%). Many will visit YouTube to find videos of product demos, how-to information and alternative product-use cases.

The right content connects with people in meaningful ways at the right time assisting them to make more informed decisions and achieve their goals. This timing presents an opportunity for brands to create mobile journeys and marketing campaigns that are more native, meaningful, culturally relevant, and effective— journeys that meet or surpass consumer expectations.

Google learned that one in three smartphone users purchased from a company or brand other than the one they intended to because of information provided in the moment they needed it. Why? Because people don’t want to be sold or persuaded. They want to be informed, engaged, and empowered. So much so, that 73% of consumers say that regularly getting useful information from a company is the most important attribute when selecting a brand.

Everything starts by first studying your consumers’ behaviour, expectations, objectives, preferences, and values. What role your mobile app plays in all of this and how prospects interact with your company. Doing so unlocks innovations in personalising user experiences and ultimately every aspect of engagement, from app development, marketing, service, support, customer relationship management and corporate culture.

By leveraging mobile apps, organisations can not only send relevant push notifications, but also measure what consumers engage and disengage with ultimately closing the purchasing loop. If your organisation is keen to engage prospective customers when it matters, develop mobile apps that deliver unique and exceptional experiences, please contact us on: (03) 8804 0820 or email us at: info@xceed.com.au

Using barcode technology integrated with your ERP software system is no longer a luxury available only to big companies with correspondingly big IT budgets. Today, economies of scale and the widespread use of integrated barcode technologies help companies reduce inventory costs, eliminate errors, improve document tracking and effectively streamlines business processes. The use of integrated barcode technologies enable companies to truly maximize productivity. It eliminates manual entries effectively reducing the likelihood of human error. Studies show an average of 10 keying errors for every 1,000 characters in comparison to 1 error in 70 million laser entries.

Barcode technologies help manufacturers, distributors and retailers better manage their inventories which can dramatically reduce the amount of inventory on-hand. Warehouse managers now know exactly when inventory is low, if physical inventory matches system inventory and even where specific items are located within the warehouse.

Integrated barcode solutions enable representatives to check the number of units being shipped for each order and provide accurate enquires for stock items that could not be supplied in full.

To know more on how we can integrate a barcode scanning solution with your Ausvantage/ DISTRIB ERP system, please call us on: (03) 8804 0804 or email us at: info@uniware.com.au

Tips from the Helpdesk: Unallocating Creditor Transactions

From AusVantage version 2.8.2, users are able to unallocate a transaction that has been applied to an invoice. This program is in Accounts -> Creditors Processing -> Unallocate Creditor Transaction.

In the below example, Invoice #13 has a credit note applied to it.

A selection can be made by Invoice number, Cheque OR Credit Note Number.

If a user enters the invoice #13, then AusVantage will show the credit note that was applied against it.

When a user right-clicks on the credit note line, there is an option to ‘Unallocate Line’

AusVantage will adjust the invoice back to outstanding and the credit note is available to apply against another transaction.

Tips from the Helpdesk: Picking Confirmation

In Picking Confirmation, clicking Enter or typing “REL” at the Product Code prompt are the same as choosing the option “Release with details”. This will prompt for the Carrier Details & Ancillaries, and then prompt for the Payment Method.

Typing “GO”, or choosing the option “Complete – defaults” will skip over the Carrier & Ancillaries screen and go straight to the Payment Method screen.

Similarly, in Sales Order Entry and Transaction Maintenance, “GO” or choosing the option “Complete – defaults” can be used to skip the Carrier & Ancillaries screen, while leaving the order as an open order.

Encryption of Data at Rest

UniData, our database of choice for AusVantage and DISTRIB provide sophisticated encryption technologies to aid us in meeting data security requirements. These requirements can be divided between securing “data in transit” (data moving between client and server or across a public or private network) and securing “data at rest” (data stored on disk media, backup tapes, CD-ROM, or other static media). The U2 database products provide encryption options appropriate for addressing both of these requirements.

Utilizing a new graphical interface, administrators can create the security rules needed for your organization, thus protecting sensitive information at the field or record level. We can encrypt individual fields of a file, like the CREDIT CARD NUMBER, with little or no programming changes.

For any UniData customers who need to comply with government regulations or organisational polices, we encourage you to give us a call so we can discuss how we may be of service to your business. Please call and ask for Craig on: (03) 8804 0804 or email us at: info@uniware.com.au

Does your payment gateway comply with PCI data security standards?

Financially motivated criminals are using increasingly sophisticated techniques to obtain customer account information, therefore it is critical that merchants implement rigorous controls to minimise the risk of being the subject of an Account Data Compromise (ADC). If you are a merchant that accepts payment cards, you are required to be compliant with PCI Data Security Standards. You can find out your exact compliance requirements only from your payment brand or acquirer.

The Payment Card Industry (PCI) Security Standards Council is a global industry initiative and membership organization focused on the protection of payment card data. They work with their members to create Data Security Standards (DSS) and best practice guidelines for businesses of all sizes to use in protecting their customers’ payment card information.

PCI Data Security Standards comprise of 6 logically related core principles accompanied by 12 requirements as seen below.

These standards apply to all businesses, however the scope of your assessment changes depending on what solution you use and how you operate your business. Compliance to these standards greatly reduces the possibility of being subject to a breach and in turn protects your businesses reputation and ensures you retain customer confidence in your brand.

According to the PCI Security Standards Council, an estimated 70% of credit card fraud attacks are targeted at small businesses. Merchants face the potential of many negative forces from a breach of cardholder data. Some of these include (but not limited to):

Fines and penalties

Termination of ability to accept payment cards

Lost confidence, so customers go to other merchants

Lost sales

Cost of reissuing new payment cards

Legal costs, settlements and judgments

Fraud losses

Higher subsequent costs of compliance

Going out of business

A data breach may exposes your clients sensitive payment card information and subsequently place your company`s reputation at serious risk. At Xceed, we are committed to providing our clients with every assistance in protecting their business from the growing threat of data compromise. We comply with PCI Data Security Standards in order to protect customer information and your business. To know more on how we can assist your business, please contact us on: (03) 8804 0804 or email us at: info@xceed.com.au

Tips from the helpdesk part 1: How to view foreign currency exchange rate history

On versions of Ausvantage up to 2.8.4 (prior to V8), “Exchange Rate History” is under System Data Maintenance:

This screen shows for each currency its exchange rate and the last date the exchange rate was modified. A right-click allows the detailed history to be shown for the selected currency.

Please see the next section for the AusVantage V8 version.

Tips from the helpdesk part 2: How to view foreign currency exchange rate history

In AusVantage V8, the option Exchange Rate History is in System Data Maintenance -> General Code Definitions.

The screen below is used to display previous exchanges rates of the pre-defined foreign currencies. This screen shows for each currency its exchange rate and the last date the exchange rate was modified.

Once in this screen, a user can expand the “+” icon next to the currency code you want to view and it will list the history.

You may be aware of a recent server/PC vulnerability discovered and named the ‘Shellshock’ bug. This can leave servers exposed to ‘outside’ attacks on systems.

Uniware are in a position to install the latest ‘patch’ on your system and block this vulnerability.

It is estimated that the installation of this patch will take no longer than 30 minutes and will not disrupt your normal business processing during this installation.

These types of updates are not covered by any of our maintenance agreements therefore the time, estimated at 30 minutes, will be charged at our prevailing time and materials rates.

While we do not believe there is an immediate threat to your system, these security patches should be applied as soon as possible to ensure system integrity at all times.

Customers who have their AusVantage/DISTRIB ERP application hosted from the Uniware Data Centre need-not-worry as the appropriate patches have been installed.

If you would like Uniware to apply this security patch, we will have it installed within one (1) business day. Please call and ask for Craig, Dennis or Will C on: (03) 8804 0804 or email us at: info@uniware.com.au

Timing of commitment of work order components

In AusVantage 2.8.3 and subsequent releases, the Commitments for Work Order components is now based on the product lead time & work order start date rather than always happening immediately.

There is a new prompt in System Setup ‘Factor of Lead Time to commit Stock on Work Orders’. The calculation is lead time on the Stock (if the Stock lead time is zero or blank, it will use 1 as the lead time) multiplied by the factor to calculate a number of days. The stock will be committed when the Work Order Plan Start Date is within this number of days from the process date. If the Work Order Plan Start Date is blank it will commit immediately. The user may also choose to manually commit the stock earlier.

If you have any questions or wold like a full scope of our release notes, please do not hesitate to call us on: (03) 8804 0804 or email us at: info@uniware.com.au

Secure File sharing with R/Link

Business information between parties needs to be secure and confidential in order to maintain a competitive edge and peace of mind. This has become an increasing area of concern given the sheer amount of data breaches involving the most popular services. Since we all share information, we might as well do it right.

R/Link from Rocket Software is the ideal solution when it comes to providing information accessibility, security and most importantly peace of mind. With R/Link, you can collaborate with people both inside and outside your network with full security. Invite those outside your network and share exactly what they need to see—no more no less!

There are many situations where an R/Link solution will make perfect sense. If you or your customers need to share company financials with your accountant, supplier or external auditor then R/Link with its ability to encrypt data in flight and at rest provides an ideal mechanism for ensuring confidentiality. Imagine a Merger and Acquisition war room where information needs to be shared confidentially with interested parties both internal and external to your organisation. What about enabling Financial Institutions to ship sensitive personal financial documents including mortgage documents, loan approvals, etc backwards and forwards with their customers?

R/Link can be accessed via a web browser meaning there is no additional software that needs to be installed on any of your devices. Authorised users can invite anyone to share folders and files. With R/Link, users control who has access and what they are authorised to do. R/Link would be hosted on your own network enabling the seamless integration, access and authorisation of files to be made possible. All security and file transfer activity is logged and accessible by the R/Link system administrator. Make R/Link part of your solution for secure file sharing.

To know how we can provide you with secure file sharing from Rocket Software, please call us on: (03) 8804 0804 or email us at: info@uniware.com.au

Tips from the helpdesk: Accessing Tax in the Non-Supplier`s Invoice Entry

Users are making an error in Non-Supplier’s Invoice Entry which causes their GST General Ledger account to be out of balance with their Tax Analysis Report.

The GST Amount can be entered on the same line as the other accounts being processed, or if preferred, as a separate line with the GST Account specified against the line. In either case, the GST must be entered in the Tax box.

The error users are making is entering the GST Account as a separate line and putting the GST in the Amount box. If this is done, it will not show in the correct area on the Tax Analysis Report.

An example of each method is shown below:

Tax entered on the same line:

Google boost search engine rankings for HTTPS protected sites

In an effort to influence the widespread adoption of encryption on the web, Google is altering its algorithms to favourably rank websites that use HTTPS.

Google I/O has called for “HTTPS everywhere” on the 6th of August, 2014 to ensure that the websites accessed from Google are secure. Webmasters are adopting HTTPS (also known as HTTP over TLS, or Transport Layer Security), on their websites which is encouraging. TLS has two major advantages over non-encrypted internet traffic. By encrypting the data as it travels between end users and servers, third parties with the ability to monitor the connection cannot read or tamper with the content. Secondly, TLS provides a means to cryptographically validate that a server claiming to belong to Google, Bank of America or any other website is authentic.

Tests have been conducted over several months taking into account whether sites use secure, encrypted connections as a signal in Google search ranking algorithms. Positive results have been seen and this has resulted in the use of HTTPS as a ranking signal. It is said that the signal at this stage carries less weight than other signals such as high-quality content. Over time, Google intends to strengthen this ranking signal. Webmasters are encouraged to switch from HTTP to HTTPS in order to keep everyone safe.

According to Google`s online security blog, they intend to make TLS adoption easier by assisting website owners avoid common mistakes by providing detailed best practises in coming weeks. Here are a few basic tips:

Decide the kind of certificate you need: single, multi-domain, or wildcard certificate

Use 2048-bit key certificates

Use relative URLs for resources that reside on the same secure domain

Use protocol relative URLs for all other domains

Check out our Site move article for more guidelines on how to change your website’s address

Don’t block your HTTPS site from crawling using robots.txt

Allow indexing of your pages by search engines where possible. Avoid the noindex robots meta tag

Websites that do not offer secure HTTPS could soon see competitor websites supersede them. We would like to assist our clients to remain competitive by moving your website to HTTPS protected pages.
AusVantage V8: New options for System Operation Parameters

A new option has been added to System Operation Parameters to allow a default answer to be specified at the end of Goods Receipt. Users will be prompted whether they wish to release any outstanding back orders for the products just received, and whether they wish to raise an estimate. Currently, both these questions default options are set to “No”.

Each of these prompts can be set to “Yes”, “No” or “X” to skip displaying the prompt completely if the answer would always be “No”. This will make the processing of Goods Receipts more efficient by either skipping the unneeded prompts or defaulting them to the required answer.

Improve web traffic and quality leads though Google AdWords

Since the introduction of Google AdWords in early 2000, Pay-Per-Click advertising has assisted businesses of all sizes to grow through highly effective advertising campaigns over the internet. Unlike traditional forms of advertising, adverts are displayed to potential customers who are actively seeking the products and services you offer.

Google handles over 3.3 billion searches every day. Research has found that clicks on paid search listings beat out organic clicks by nearly a 2:1 margin for keywords with high commercial intent, and this makes them extremely valuable to businesses.

Through Google AdWords and Google analytics, advertisers can measure and monitor campaigns to know exactly how many potential customers they have drawn to their website through paid listings. Every aspect of your campaign can be fine-tuned to ensure you are reaching your organisations target audience.

The level of control offered by AdWords marketing allows advertisers to keep low costs by setting a daily budget with no minimum spend. Advertisers can pause or resume entire campaigns or particular advert groups as they see fit. At the end of the day, advertisers are only charged for actual clicks that lead to specific landing pages on your website.

At Xceed, our Google certified professionals are ready to assist you draft and maintain a targeted AdWords campaign based on your organisations goals. Make the most of online marketing and draw in your desired audience today. Call us on: (03) 8804 0820 or email us at: info@xceed.com.au

Tips from the Helpdesk: How to update Debtor email addresses when listed as N/A in Debtors File Maintenance

Users will need to access Standard Forms Details in System -> System Data Maintenance -> Setup Functions -> Standard Forms Details in order to enable an email input.

The screen below shows the various document types and options on how to send them. Users cannot type over the “n/a” segment in Debtors File Maintenance – Printing Options where “n/a” is against Remittance because there is no email template defined in Standard Form Details. Please see the example below.

Updating a Debtors email address against the Remittance Advice printing option will enable users to email Remittances instead of printing them. If the Remittance email option is left blank then the AusVantage system will resort to using the Default email address that can be specified in the first line of the above screen.

Menu location for Standard Forms Details:

The below screen displays where a user can set-up the email template for the Remittance Advice.

The below is the Printing Options in Debtors File Maintenance after input of the form name in the Standard Forms Details screen.

Users now have the option to highlight either the Remittance advice line (or the top line: Default) as shown below and enter an email address.
